Editing & Managing citations

Adding page numbers to a citation (this only works with author-date styles).

  • Highlight a single citation by placing your cursor on it. Click on the Edit & Manage Citation(s) button.
  • For a style such as APA 7th which allows for placement of page numbers in-text, type the page number into the Pages box and click OK.
  • For other styles, use the Suffix box, type your page numbers exactly as you want them to appear, for example, pp.18-19. Click OK.
Adding text before a citation (this only works with author-date styles)

You can add text before or after a citation, eg. “as cited in” or “see also” .

  • Highlight a single citation by placing your cursor on it
  • Click on the Edit & Manage Citation(s) button.
  • In the Prefix box, type the text, e.g. see also, followed by a space, click on OK. (The space is needed to separate it from the author name.  When using a Suffix, insert the space before your text).
  • You citation now appears in the format of (see also Smith, 2008)
   Deleting a formatted citation

It is absolutely essential to use the Edit & Manage Citation(s) command to remove an unwanted citation, rather than backspace
or delete keys. All associated EndNote field codes will be safely deleted from your document if done correctly. To safely delete a formatted citation:

  • In Word, with your cursor highlight the citation you want to delete.
  • From the EndNote tab, click the Edit & Manage Citation(s) button. In the Edit & Manage Citations dialog, ensure that the citation you want to delete is highlighted. If the citation is part of a multiple citation, make sure you select just the citation you want to delete.
  • From the Edit Reference menu, click Remove Citation.
  • Click OK.
