Dropbox and EndNote (in)Compatibility

• Dropbox (and other cloud drives like OneDrive, SharePoint, Google Drive and iCloud) are cloud based file sharing services. EndNote was not designed for compatibility with cloud based storage. While you can use these services to keep a backup copy or share a compressed copy of your database file(s), we do not recommend opening and/or using the database from that location.
• If you have your EndNote files or working Word Documents saved to Dropbox or any cloud storage, we recommend you copy/move the files to another location on your computer or remote drive before you open them.

Managing Libraries

• Mac users: when creating a new library leave 'Save as Package' unchecked.
• Only have one Library. Don’t use multiple Libraries with a Word document – you can use Groups to organise your references.
• Don’t save your Library to the desktop (save it to your Documents folder); keep the filename short
• Make regular backup copies of your Library (and documents). Use the File | Compressed Library command, or File | Save a copy command
• Ensure that the Endnote Library .ENL file & associated .DATA folder always stay together – never ‘move’ them separately. Don’t move or modify files inside the DATA folder – EndNote looks after it.

PDF attachments

• Make sure attachment file names especially PDFs are kept short (25 characters). Use the 'PDF Handling' preferences - Edit | Preferences | PDF Handling  (we recommend Author + Year)
• Be aware that annotations/notes added to PDFs in EndNote are only visible within the EndNote program.

Keeping EndNote current

• Run the latest patch, after installing EndNote (and every few months) -- Help | EndNote Program Updates

• Enter each author on a separate line. Put the surname first, then a comma and a space, and then the first name. If the author is a multiword corporation, put a comma at the end, eg:
              NSW Board of Studies,

EndNote and Word Field Codes

• Use the EndNote toolbar commands to modify or remove citations (don't manually edit any 'greyed' text)
• Don't use EndNote CWYW documents with forms (or submit them via Turnitin). Use the Convert to Plain Text tool prior to submitting to Turnitin, or attaching it to requisite forms.
• If you are the type of author that does a lot of cutting and pasting, make sure you Convert to Unformatted citations before moving chunks of text that contain citations. You can then use the Format Bibliography tool.
• If using Track Changes, set it to Final Display mode (or No Markup in Word 2013). Mac users set view to Original not Markup. Also turn Instant Formatting to OFF (in the EndNote toolbar).
